Z&S Audiology is an independent audiology practice at Willowmead Medical Centre, 88 Kromboom Road, Rondebosch East, Cape Town. This policy explains how we handle your personal information under the Protection of Personal Information Act (POPIA), whether you contact us through this website, by phone, on WhatsApp or by email, or come to us for hearing care.

Information Officer

Shiraz Shakeel is our Information Officer. Contact: info@zandsaudiology.co.za or 021 696 8571.

What we collect

  • When you contact us: your name, phone number, email address, the service you are interested in and anything you write in your message.
  • When you are our patient: the details we need to provide and bill for your care, such as your contact details, date of birth, medical aid details, medical and hearing history, test results and hearing aid records.
  • When you use this website: technical information such as your IP address, device and browser, the pages you visit and how you reached the site (for example, from a Google ad). See “Cookies and tracking” below.

Information about your health is “special personal information” under POPIA. We process it only to provide your care and to meet our legal and professional duties, and we keep it confidential as required of health practitioners registered with the HPCSA.

How we use it

  • To answer your enquiry and book appointments.
  • To provide hearing tests, hearing aid fittings, ear wax removal and follow-up care.
  • To claim from your medical aid when you ask us to, and to issue invoices and receipts.
  • To meet our legal and professional record-keeping duties.
  • To understand, in summary form, how our website and advertising perform.

We do not sell your personal information, and we do not use it for marketing without your consent.

Who we share it with

  • Your medical aid, when you ask us to submit a claim.
  • Other health practitioners involved in your care, such as a doctor we refer you to, with your knowledge.
  • Hearing aid manufacturers and suppliers, only what is needed to order, supply or service your hearing aids.
  • Service providers who help us run the practice and this website, such as our website host and email and IT providers. They may only use the information to provide their service to us.
  • Anyone we are required to share it with by law.

Contact form, phone and WhatsApp

Messages sent through our contact form are emailed to info@zandsaudiology.co.za. Please keep the form brief and leave detailed medical information for your appointment. If you message us on WhatsApp, WhatsApp (Meta) also handles your messages under its own privacy policy.

Cookies and tracking

This website uses cookies and similar technology:

  • Google Analytics shows us how visitors use the site, such as which pages are viewed and the type of device used.
  • Google Ads conversion tracking tells us when someone who arrived from one of our Google ads then contacts us by tapping our phone number or WhatsApp link, or by sending the contact form. This shows us which ads work. We do not send your name, contact details or the content of your message to Google, and we do not use health information to target advertising.
  • Facebook: our homepage displays our Facebook page, which loads content from Facebook (Meta) and may set Facebook cookies.

You can block or delete cookies in your browser settings, and you can manage personalised Google advertising in your Google account’s ad settings. Some parts of the site may not work as well without cookies.

Information stored outside South Africa

Some of our service providers, including Google and Meta, store or process information outside South Africa. We only use providers that are bound by data protection terms.

How we protect it and how long we keep it

We take reasonable technical and organisational steps to protect personal information, including limiting who can access it and keeping secure backups. We keep enquiry details only for as long as we need them to respond and follow up. We keep patient records for the periods required by the HPCSA and other applicable law.

Your rights

You may ask us what personal information we hold about you, ask us to correct or delete it (unless we are legally required to keep it), object to how we use it, or withdraw consent you have given. Contact our Information Officer using the details above.

If you are unhappy with how we have handled your information, please talk to us first. You may also complain to the Information Regulator: inforegulator.org.za, enquiries@inforegulator.org.za, 010 023 5200.

We may update this policy from time to time. The date at the top shows when it last changed.
